Refund Policy

This Refund Policy explains how cancellations, refunds and the free Pilot work for PhytoMaps subscriptions. It forms part of, and should be read together with, our Terms & Conditions. PhytoMaps is a business-to-business (B2B) service; this policy is written for business customers.

1. Free Pilot

New customers may evaluate PhytoMaps on a free 30-day Pilot. The Pilot is free of charge — no payment is taken and there is nothing to refund. If you do not subscribe, access simply ends when the Pilot expires; your data is retained for a limited period in case you decide to continue.

2. Subscriptions and billing

Paid plans (Essential and Advanced) are billed in advance through our payment processor, Stripe, on a monthly or annual cycle. Subscriptions renew automatically at the end of each cycle until cancelled. Applicable VAT is added at checkout.

3. Cancellation

You can cancel renewal at any time from your account's billing settings (the Stripe customer portal). Cancellation stops the next renewal; it does not end your current paid period.

When you cancel, you keep full access until the end of the period you have already paid for. After that, the subscription ends and is not renewed.

4. Refunds

Subscription fees are non-refundable, including for the unused portion of a monthly or annual term. Because you keep access for the full period you paid for, we do not refund the remaining time when you cancel early.

Exceptions. We will refund the pre-paid fees for the period after termination, on a pro-rata basis, where: (a) PhytoMaps materially reduces the contracted functionality during your paid term and you terminate the affected subscription on that basis; (b) we make a material change to the Terms that you reject in writing before it takes effect; or (c) you reasonably object to a new sub-processor under our Data Processing Agreement and we cannot agree on a solution. These mirror the remedies in our Terms & Conditions and DPA.

We may also issue a refund at our discretion, for example where a clear billing error has occurred (such as a duplicate charge).

5. Failed payments

If a renewal payment fails, we keep your account active during a short grace period while the payment is retried. If payment is not completed within that period, access to paid features may be suspended until the account is brought up to date.

6. How to request a refund

Where a refund applies under this policy, email [email protected] from the account's billing contact, quoting the charge concerned. Approved refunds are issued to the original payment method via Stripe, normally within 5–10 business days depending on your bank or card provider.

7. Your statutory rights

PhytoMaps is provided to businesses, partnerships and sole traders acting in a business capacity. Consumer rights of withdrawal do not apply. Nothing in this policy limits any rights you may have that cannot be excluded under applicable law.
